Why should you Switch to a Cloud-Based Phone System?

W

Deploying a Cloud-based phone system is a reliable solution in the modern era. Businesses today are looking for ways to upgrade their infrastructure and keep it up to date with modern times. However, a traditional telephone system is costly due to higher setup and hardware costs, in addition to the recurring maintenance costs. A cloud-based phone system, on the other hand, has several benefits like hassle-free setup, cost-effectiveness, etc. Let’s have a look:

  • Cloud Phone is Cost-Effective

One major reason that attracts companies towards Cloud-based phone systems is the cost-effectiveness. There is less management cost, less setup, and maintenance cost, and less expensive overall.

  • Cloud Phone is fully integrated

Integrating a company’s cloud phone system with its apps highly increases the company’s efficiency. Business tools that are hosted in the cloud are easy to deploy and let employees and customers stay connected. With cloud phones, there is email, IM, Videoconferencing, and CRM tools all in one place.

  • It’s Easy to Use

With an integrated environment, Cloud Phone is easy to use. Cloud-based phone systems allow their users to log in from anywhere, thus there is no need to call explicitly from the office desk. Your employees can make business calls on the go.

  • Cloud-based phone system offers Flexibility to Scale

Businesses often need to scale up or down. With a cloud phone, businesses can increase their Phone channels/ lines as per the requirement or even decrease them if needed. So, you can add as many extensions as they are needed. To deactivate a few extensions, you simply need to call the vendor and that’s done.

  • Business Continuity

Cloud-based phone systems come in handy in case of a calamity. Since the servers are located at different geographical locations, if the area of your office space is hit by a storm or a hurricane, the business communication can still function well even if the workspace is not in an operational state.

  • Better Customer service

With CRM tools integrated, Cloud computing is a handy approach towards improved customer service and complaint management. Virtual Receptionist (VR) or Auto Attendant features are there to stay connected with your coaster 24/7.

M

In business, the 2020 pandemic has given rise to one thing: employees remote working setups. Indeed, there are many remote working advantages but as remote working is becoming the new norm, there is a new term being coined: The Hybrid mode.

Hybrid is a new way forward where employees are not bound to work within the walls of an office.

Physical office spaces are designed for all

The physical workspaces have to be equipped for an in-line hybrid experience.  Intelligent cameras are one way to provide a decent meeting experience when working in hybrid mode i.e. the presenters are in the office and the audiences are attending the meeting remotely.

AI-powered active speaker tracking

Intelligent Cameras are equipped with AI-powered tools where the camera is able to focus on the person speaking from within the room and also be able to zoom in.  The AI features also include gesture movement and facial recognition.

Locate and reserve flexible workspaces with Hot Desking

Hot Desking experience lets you and your coworker’s reserve flexible workspaces within the office. You can book a space from the device via the Microsoft Teams app and get hands-on personal Teams chats, calendars, meetings, and a lot more. The hot desking experience lets the users use the Teams displays as a second screen.

Modern tools to make Hybrid meetings as effective as an in-person meeting

Teams provide a way to conduct meetings in hybrid mode as they are being carried out in person. Tools like Cameo will let you seamlessly integrate Teams Camera feed into a presentation and provide the option to customize the way you wish to present.  The Cameo feature will be rolled out in the first quarter of 2022.

Microsoft Teams makes Hybrid work easy to execute

What happens to my existing business phone numbers if I switch?

W

When you are shifting to a new telecom provider, you can keep your phone number. As long as the business’s geographical area remains unchanged, it is guaranteed that the company can keep the existing phone number even if switching to a new service provider. The process is termed as porting.  The Federal Communications Commission governs porting rules. Companies, however, are permitted to charge you for the number being ported. For successful porting, you need to have your customer service record (CSR). After this, the onboarding team will be responsible to cater all the queries related to the porting process.

Experience Direct Routing with Teams and PBX

E

Microsoft Teams allow smart communication, modern chat facilities, state of the art meetings and easy files storage capabilities.

With Teams gaining popularity more than ever after Skype for Business retirement, cloud communication solutions providers and cloud business officials are looking for ways to get value from their existing systems with Teams as much as possible.

Initially called “bring your own trunk”, Direct Routing was introduced with Teams to provide a PSTN connection with Teams to facilitate Teams users.

Can I integrate Teams with existing systems?

Microsoft enables organizations to place external or internal calls within the organizations. However, telephony features within Teams are limited. To overcome this MachCloud developed a unique connector integrating Microsoft Teams with existing PBX systems via Direct Routing. It enables personalized levels of communication, using the Teams app on any device: Teams Phone, Smartphone or PC.

Chose the right solution

MachCloud allows you to set up telephony services in Microsoft Teams in three different ways:

  1. Replace existing Phone systems with Microsoft Teams. You can save PBX related costs and benefit from attractive calling plans;
  2. Connect Teams users to an existing Cloud PBX, based on MachCloud’s unique Teams connector. Full features PBX functions, combined with the power of the Teams app.
  3. Use the Teams app on PC or smartphone to set up your calls via MachCloud’s Hosted PBX. You do need a Business voice subscription or Phone addon.

MachCloud assists in choosing the right solution and offers a smooth migration path allowing a ‘small step’ changeover. In case user requirements cannot be met with a single solution, a mix of traditional business telephony and modern calling in Teams can be introduced.

Things to consider before making your choice

  • Migration

To set up Teams or PBX Teams, you need to check telephone numbers, licenses, hardware and call routing. MachCloud offers advice and migration support.

  • Consider Remote working option

Since remote working has become a norm and virtual workplaces will be deployed to increase security, a long-term plan is essential to ensure good quality voice connections. Deploying a Cloud telephony system for remote workers, a PBX with Teams Connection needs to be managed and set up remotely. A backup routing is needed in case of connection failure.

In short, companies have now realized that these systems that host voice telephony and video conferencing services can be used as alternatives to traditional business phones.

Cloud-based Communications Systems Offer Office Phone Alternative

Back in 2020 during the outburst of the pandemic, there had been a sudden rise in work from home practice. In Europe, according to Eurostat, the highest rate was reported to be 25% in Finland followed by Luxembourg and Ireland (23% and 21.5% respectively). With this, employees had to keep the communication intact in order to keep the flow of work going. Skype for Business Online Retires | Microsoft Teams is the new norm

S

If you haven’t noticed already, Skype for Business Online is retiring this month.

Businesses that took interest in Skype for Business Online and unified business communications services are well aware of the fact that Microsoft announced this retirement two years ago. The new platform is Microsoft Teams which is equipped with much more. Since the announcement took place, a large number of training and workshops have been conducted by Microsoft and other providers on how to do the migrations and how to tackle the transition phase from Skype for Business Online to Teams.

For those of you who haven’t yet decided to make the shift, it is high time you should decide it once and for all. MachCloud is offering Assisted upgrades to Teams with its Microsoft-assisted Upgrades to Teams Program. It will begin from August 2021 and will be beneficial to those organizations that haven’t yet made the transition. They will then be able to use Skype for Business Online for a smooth Unified business communication experience until their upgrade is done.

MachCloud-assisted Upgrades to Teams

The organizations opting for this upgrade will be provided the assistance based on the type of skype for business online program they are using. The duration of the program will depend upon the volume of users and the nature of the initial deployment. They are based on two categories:

  • Skype for Business Online-only: For these kinds of users, they’ll be placed in Teams Only mode. The program will apply a TeamsUpgradeOverridePolicy to the entire tenant.
  • Skype for Business Online users in the hybrid environment: These users will also be switched to Teams only mode if they aren’t already.

What would be included in the Migrations?

In order to carry out the migrations, you need to consider many technical aspects. To be sure to migrate in a proactive approach to avoid any data loss during migrations, it is advised to perform a Pre-migration check. MachCloud performs such a Pre-migration check which results in a project plan for seamless migration while ensuring a fully transparent migration with fixed price execution and planning.

Microsoft Teams integration with Business Phone: What to expect?

M

A business Phone system is essential to every business these days. Microsoft Teams is a unified and full-fledged communication system that helps organizations to collaborate within the business environment. Latest business communication methods like chat, audio conferencing, and video meetings, file sharing is provided to users to stay in the know with the latest updates within a company project.

Every Business still needs a business phone

Even though business communication has evolved from the traditional phone, a phone remains as the most common form of communication in offices today. There are scenarios where you have to communicate one-to-one with a customer or supplier outside your company. These scenarios are catered for in the Teams app as integration with VoIP systems is supported. Doesn’t it make business communication a whole lot simpler and smoother?

Setting up calling services in Teams

Setting up calling services in the Microsoft phone system is no rocket science. All you need to know is that you have the right licensing. Teams VoIP services can be obtained with an additional Microsoft 365 license. To use a phone system you have two options:

  • Calling Plans: Get to know if Microsoft Calling plans are supported in your area.
  • Direct Routing: Go for Direct Routing in Teams with your trusted local Telephony partner and select whether you want to keep using your existing comprehensive PBX or not.

What Should I know to set up a phone system with Microsoft Teams?

There are a few technical aspects of Teams that every business must be informed with. Let’s traverse through the important considerations of setting up your organizational phone system with Teams:

Use the existing PBX

That is the beauty of Microsoft Teams phone system. It doesn’t require you to start from scratch; rather, you can continue using your existing PBX. This way, your PBX can continue to stay, but you can still leverage the benefits of Teams Calling plans and chat-related features. Teams, thus, acts as your soft client for PBX.

Get the Right Phones

The existing business phone devices deployed at your end are in no way a hurdle between setting up Teams and be able to make calls via Teams, however, it is essential to know a few devices that would be replaced at your end (with no additional cost). Teams certified hardware includes very comprehensive Yealink phones:

  • Yealink SIP-T40P
  • Yealink SIP-T41S
  • Yealink SIP-T42G
  • Yealink SIP-T42S
  • Yealink SIP-T46G
  • Yealink SIP-T46S

Know your requirements

It might sound a bit challenging, but it is always good to have a vision for the communication as to how would you want it a few years from now. In other words: Know your requirements. The abrupt pandemic in 2020 has introduced a new requirement: Remote working.

Having remote working employees requires a high-speed connection, low latency, and frequent connections to the phone system, while limited internal communication requires an average internet connection and fewer connections to the phone system.

If remote working is one requirement, specify it in advance.
